What to look for in NCR software
- NCR number generation and tracking
- Disposition workflow (use as-is, rework, scrap, return to supplier)
- CAPA linkage — every NCR can trigger a corrective action record
- Audit trail with timestamped revisions
- Document and photo attachments
- Reporting and export (CSV, PDF, customer formats)
- User access controls and approval routing
- Price transparency — published pricing, no "contact sales"

When a spreadsheet is good enough
Not every manufacturer needs dedicated NCR software. A well-structured spreadsheet or shared-drive workflow is often sufficient when:
- You're early stage and still defining your quality system
- NCR volume is low — fewer than ~10 events per month
- You operate from a single site with a small quality team
- Your customers don't require a specific QMS platform or audit export
The point at which a spreadsheet stops working is usually obvious: missed CAPA due dates, lost attachments, audit findings on traceability, or repeated NCRs that reveal the trend was never visible. At that point, dedicated software pays for itself quickly.
Free alternative
If you're not ready for software yet, start with a structured template. Our free NCR template is aligned with ISO 9001, AS9100, and IATF 16949 — Word and PDF, no signup barrier on the file itself.
